Mitsubishi Heavy Industries America, Inc. (MHIA) is looking for an Administrative Assistant to join the Corporate Administration team. This is a part-time hybrid role based out of our Houston, TX Office.

SCOPE:
The Administrative Assistant, Corporate Administration (CA), handles daily support operations of the MHIA organization and performs various functions, including providing administrative support. This position is also responsible for handling correspondence, preparing reports, and coordinating meetings, to ensure all support activities are carried out effectively and efficiently for all operations to function properly.
JOB RESPONSIBILITIES
- Provide accurate, timely and efficient administrative support to Senior Executives including meeting arrangement, travel and transportation coordination, and other business-related reservations as required
- Handle inquiries from customers over the phone and provide necessary information of MHI group products when requested
- Receive and send packages, mail, and other deliveries.
- Smoothly conduct payment process regarding expenses managed by Corporate Administration department.
- Arrange meetings, coordinate catering, and provide other supportive services for company events such as: appreciation lunches, etc.
- Make timely requests to the building management office as needed, including badge access coordination (activation, replacement, and deactivation) vehicle update, gym access, parking access, office environment and others as necessary.
- Promptly notify office/building personnel of expected visitors. Register visitors as requested, escort office visitors if necessary (guests and service vendors).
- Arrange for the appropriate maintenance and repairs of office furniture and equipment. Coordinate outside repair or restorative services as needed.
- Circulate correspondence or place calls to HQ employees as notification of events coordinated by the local building or as directed by corporate administration manager.
- Monitor the inventory of office supplies and the purchasing of new material with attention to budgetary constraints. Monitor costs and expenses.
- Support and work with other MHI group companies when they need to use HQ office facilities. Arrange conference room, catering, dining reservation and transportation reservations.
- Perform other related duties as assigned.
QUALIFICATIONS & SKILLS
- Education Requirement: Associate degree. Additional years of experience may be used in lieu of a 2-year degree.
- Experience: Minimum of 3 years of administrative experience within a similar or related role.
- Any special skills/training/certifications:
- Experience in Microsoft Office application (PowerPoint, Word, Excel, and Outlook)
- Excellent organizational skills including attention to detail and the ability to manage and deliver multiple priorities simultaneously.
- Excellent communication and interpersonal skills.
- Japanese bi-lingual preferred.
- Proactive nature.
WORKING CONDITIONS:
- Travel: Minimum travel required.
- Working Hours: 20 hours per week.
- Weekend/late night work if applicable: Minimum.
- Lifting/physical requirements: p to 10 pounds, regularly required to sit for long period, stand, walk, talk and/or hear.
