SCOPE
The Accounting Assistant II provides accounting support for MHIA’s Corrugating Machinery Division. This role is responsible for processing invoices for parts and sales, data entry of expenses, periodic reporting and other accounting transactions while working within the limits of standard or accepted practice.
JOB RESPONSIBILITIES
- Confirm in SAP that the packing list has been moved to Post Goods Issue (PGI) stage to start the generation of the parts sales invoices.
- Conduct appropriate follow-ups with the warehouse team if the packing lists have not been set to PGI.
- Ensure timely updates of the invoices to include tracking number for all the parts shipped to customers.
- Enter billable amounts for the freight cost and other information provided by the warehouse-shipping team.
- Complete the billing process by releasing, printing, and mailing customer invoices.
- Enter invoices issued in applications such as ARIBA or COUPA for customers as required.
- Issue and record customers’ credits in a timely manner.
- Process customer returns and keep track and follow up on open returns.
- Process and/or review assemblies’ entries in SAP.
- Be responsible and accurate for data entry in SAP.
- Contact and review statements from customers and vendors and conduct appropriate follow-up.
- Aid with month/quarter/year-end reporting for closing.
- Perform other administrative and related duties as assigned.
- Maintain safe work area and comply with safety procedures and equipment operating rules keeping work area in a clean and orderly condition.
- Participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems, and maintain specified level of knowledge pertaining to new developments, requirements, and policies.
QUALIFICATIONS & SKILLS
- Education Requirements: High School Diploma or GED. Associate’s degree in business administration, Accounting, or similar field preferred.
- Experience: At least three (3) years of experience in accounting or related administrative roles
- Special skills/Training/Certifications
- Proficient in the use of Microsoft Office Suite. Intermediary knowledge of Excel.
- Excellent written and oral communication skills.
- Ability to use peripherals and standard office equipment.
- Experience with SAP or other ERP Systems strongly desired.
- Experience with ARIBA, COUPA or similar systems preferred.
WORKING CONDITIONS
- Weekend/late night work if applicable: Occasionally.

- Lifting/physical requirements: Regularly required to sit for long period, stand, walk, talk and/or hear. Frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.

- The pay range for this position is $26.79 to $31.35. The actual wage offered depends on budget, candidate experience, knowledge, and qualifications. This position is eligible for overtime.
