Role Overview
We are seeking a highly organized and proactive Executive Administrator to provide comprehensive support to the Chief Human Resources Officer in a fast‑paced environment. This role is responsible for managing executive administrative activities, coordinating customer care communications, and ensuring the efficient day‑to‑day operation of the office. The Executive Administrator serves as a key point of coordination across internal and external stakeholders while supporting office operations, meeting logistics, and workplace needs to help ensure a productive and professional work environment.
Key Responsibilities
- Demonstrates our core competencies: Action oriented, change champion, customer-focused, developing self & others, and ownership
- Provide comprehensive administrative support to the Chief Human Resources Officer, including calendar management, travel coordination, and preparation of reports, presentations, correspondence, and other business documents.
- Manage communications and stakeholder engagement, serving as a primary point of contact for internal and external inquiries while ensuring timely and professional responses.
- Support customer relations activities, coordinating with customer care and internal teams to address customer concerns, facilitate issue resolution, and prepare executive-level customer communications.
- Plan and coordinate meetings, customer visits, conferences, and special events, including agenda preparation, meeting minutes, action-item tracking, travel arrangements, accommodations, and event logistics.
- Maintain confidential records and documentation, ensuring accurate organization, retention, and accessibility of electronic and physical files.
- Oversee day-to-day office operations, including management of office supplies, refreshments, executive support resources, and coordination with vendors and service providers.
- Serve as a liaison between executive leadership and internal/external stakeholders, fostering effective communication and cross-functional collaboration.
- Handle sensitive and confidential information with the highest level of discretion, professionalism, and integrity.
- Support strategic initiatives and special projects, conducting research, compiling information, and assisting with planning, decision-making, and executive priorities.
- Monitor and escalate critical issues requiring executive attention to help ensure timely resolution and achievement of business objectives.
Requirements
- Bachelor’s degree preferred, with 5+ years of experience in an executive administrative role supporting senior leadership.
- Strong written and verbal communication skills, with the ability to effectively interact with executives, employees, customers, and external stakeholders.
- Ability to read, interpret, and prepare business correspondence, reports, and administrative documents with a high degree of professionalism and accuracy.
- Bilingual English/Spanish skills preferred.
- Proficiency in Microsoft Office and standard business applications, including Word, Excel, PowerPoint, Outlook, and internet-based tools.
- Exceptional organizational, time-management, and multitasking abilities, with strong attention to detail and the ability to manage competing priorities.
- Demonstrated professionalism, discretion, and sound judgment when handling confidential and sensitive information.
- Strong interpersonal and customer service skills, with the ability to build effective relationships across all levels of the organization.
