­Mitsubishi Power Americas, Inc., in Lake Mary, Florida is looking for a Senior Planner of Real Estate and Facilities.

 

SUMMARY

 

This position is responsible for supporting our strategic space planning activities and corporate real estate initiatives. They will be a key team member in the department while assisting in office related projects and tasks. Attention to detail, teamwork, problem-solving, organization and planning skills are a must.

 

ESSENTIAL DUTIES & RESPONSIBILITIES

 

  • Maintain our space management software to stay up to date with employees and their current work status, ensure proper accommodations have been made and that our employees meet the criteria within our seating policy.
  • Maintain accurate floor plans within our software, including and understanding the footprint by department, manager and other determining categories. Ensure we have the files in multiple formats (.PDF, AutoCAD, .ai)
  • Manage assigned seating of our employees utilizing our I-Office tool. Work with HR and Business Unit Leaders and Managers to ensure employee moves and new hires are coordinated by Facilities.
  • Coordinate cubicle turnovers once an employee vacates a cubicle.
  • Maintain data and occupancy %’s for reporting.
  • Assist with the maintenance of real estate related documentation, important dates and clauses, scheduled price increases and lease statements.
  • Assist with real estate dealings, document reviews and approvals with legal and finance.
  • Assist with facility design, furniture planning, purchasing of furniture and other design and space related  projects.
  • Plan & execute small to medium size projects to ensure compliance with customer specifications and applicable standards and regulations.

  • Assist in the planning and execution of large projects to ensure compliance with customer specifications.
  • Complete the necessary documentation and provide sufficient information for the submission of Fixed Asset requests and assist with planning of long-term capital projects.
  • Assist in the preparation of facility budgets, tracking costs and developing cost saving initiatives.
  • Provide written scopes of work and request for proposals to contractors and vendors for small to medium-sized projects.
  • Provide reports on project scheduling, finance and compliance as requested.
  • Generate purchasing documents, purchase orders, assist in processing invoices and ensuring our vendors are paid according to our agreements.
  • Strict adherence to the department’s policies and procedures, following such procedures, making recommendations as updates to those procedures and ensuring all steps have been taken.
  • Assist with vendor selections to provide goods and services for the department based on scope of work, quality, service, and other pertinent factors.
  • Interface with purchasing in vendor negotiations, pricing, terms and conditions and SLA’s.
  • Interface with vendors to ensure positive vendor relationships and expedite parts and equipment.
  • Assist our regional offices in coordination with office and facility related vendors and other issues that may arise. Work closely with office staff and support as needed.
  • Become a team member on our Safety council – to be trained in CPR, AED and First Aid.
  • Some travel to be expected.
  • Perform other such space planning and real estate duties as may be required.

KNOWLEDGE, SKILLS & EDUCATION

  • Education and/or Experience: Bachelor’s degree preferred; and/or 3-5 years of related experience and/or training; or equivalent combination of education and experience.
  • 1+ year in project management, either coordinating and/or assisting in small to large projects,the use of project management tools (Preferred)
  • 1+ years’ experience in facilities space planning (Preferred)

 

  • Language Skills: Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

 

  • Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

 

  • Computer Skills: Proficient in Microsoft Office (Word, Excel, PowerPoint) A base understanding of Audio/Visual systems and components or other technology commonly used in office environments.
  • 1+ year experience using AutoCAD or similar space planning software (Preferred)
  • Experience with Adobe (Illustrator, Acrobat DC and other software’s within the Creative Cloud) (Preferred)
  • Experience with Microsoft SharePoint, or online web tools for form design (Preferred)
