Role Overview
The Project Support Coordinator will have a vital role that is strategically aligned to support the field personnel with the pre, during, and post outage implementation. This role will also conduct forecast and demand reviews for upcoming outages as well as manage the inventory levels and audits for technology.
Key Responsibilities
- Participate in pre-outage planning and implementation meetings as required.
- Maintain an ongoing forecast of outages, devices, and shipments pertinent to this role.
- Assemble and ship outage materials consisting of, but not limited to, printed job books, technology boxes/cases, digital documentation packages, banners, and other materials required to support the field personnel.
- Construct, manage, and store the physical drawing books as required for outages.
- Create, export, and upload digital packages from the various systems of record to the hard drives.
- Track, receive, and process technological devices and documentation from outages.

- Extract any data and store in system(s) of record, and re-inventory the device for future shipments.
- Scan documentation and store it in system(s) of record.
- Request status on all items that are not returned from the outage.
- Ensure technology is received back from outages:
- Confirm device(s) is in working order, including but not limited to:
- MiFi;
- iPad;
- Case for iPad;
- Ensure all iPads are up to date with the latest iOS before outage season;
- Maintain proper charge levels for the iPads for outages;
- Awareness of the inventory levels and master sheets, including but not limited to:
- CORE cases and all ancillary items;
- iPads for CORE cases;
- iPads for new Engineers’
- MiFis;
- Starlinks;
- Tech Boxes and all ancillary items;
- Logbooks
- Prepare and participate in the technology audit before or after each outage season; locate lost or missing items. Report on what is needed for the upcoming outage season.
- Proficiently follow all structures, categorization, and organizational criterial for outage material, documentation, and logbook for archival and retention purposes.
- Conduct annual logbook retention in correlation with the archiving and retention policy.
- Maintain communication with those out in the field, which could include instant messaging, emails, or calls.
- Navigate folder and document trees/databases along with understanding how to work with and edit different file types.
- Follow the document control, archival, and retention processes per department and corporate standards.
- Support branding and document control awareness.
- Utilize technology to enhance work efforts and prepare reports that represent data obtained through various platforms.
- Troubleshoot printer errors and printing to certain requirements.
- Continually streamline interdepartmental project planning and forecasting for outages.
- Participate and facilitate department and project initiatives.
- Actively support the continuous improvement of processes and procedures.
- Assist with the onboarding of new hire field personnel in correlation with this role.
- Facilitate training and awareness about this role.
- Participate in training courses and programs as they relate to overall business and personal development, as well as product related developments.

- Education and/or Experience: An Associate’s Degree from an accredited institution with at least two (2) years of related experience and/or training is preferred. An equivalent combination of education and experience will be considered.
- Language Skills: Ability to read, analyze, and interpret general business metrics and procedural documentation. Ability to effectively present information and respond to questions from groups of managers, clients, customers, suppliers, and the general public.
- Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
- Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
- Computer Skills: Knowledge of database, project management, spreadsheet, word processing software, and electronic mail. Proficiency in Microsoft Office (Word, Excel, Visio, Power Point, One Note, Outlook) Software and Document Management Software.
- Overnight travel 10% travel or less by land or air.
